When Office stops working as expected, start with the shortest official checks before you reinstall anything.

Problem Description: Documents Showing Recent Opened

Hopefully I can get an answer to this. The RECENT files in OneDrive never make any sense. There are files in the recent that today haven't been opened in five years. There are files in the recent that says I opened them yesterday. Nope. Have no idea. I read that this could be due to indexing, updating, the moon in the seventh house, whatever. I saw an old post from 2023 that was entitled "Documents showing in recent when not opened" and it mentioned how to remove some of these files using File Explorer. Doesn't help me with the Mac. There was also a mention to check Version history. That doesn't work because the files that show up in "Recent files" are none that I have accessed recently. So, there's no version history to search. And when I follow the instruction from that 2023 post that states, "Go to onedrive.live.com, sign in, and check "Activity" or "File History" for true access times," there is no "Activity" or "File History" to check for true access times. As is often the case, the instruction just goes to a link that then requires investigative and private eye skills to find the hidden "just simply" method. And, as is often the case, right clicking a file has ways to share, open, send, review, look, see.... delete? Nope. I don't want to spend hours individually trying to remove these "recent" files one at a time only for them to repopulate again. As they often do. I do think that files show up when I click on them on the computer to delete them... I have no idea why a file from 2021 showed up at the top today as I didn't even know this file still existed. The OneDrive says my files are synced at the top. 1. How to I clear out the recent files in OneDrive on the Mac? 2. Where are the settings to "just simply" check Activity on the Mac? 3. How do you delete a "recent file" in OneDrive? Thanks.

Quick Answer for Office Won't Complete Task

The 'Recent' view in OneDrive on Mac does not mean files opened by the user; it reflects files recently touched by the system, such as OneDrive sync operations or macOS indexing.

Likely Causes Behind Common OneDrive File Issues Triggers

  • The Microsoft account or license context may not match the purchase or device.

  • Cached credentials, outdated builds, or damaged local components can trigger onedrive file issues.

  • A file-specific corruption or add-in conflict can mimic a broader application failure.

Recommended Solution: Installing Office on a New PC

When to use this: Apply these steps when the symptoms match and you can access the relevant Microsoft account or administrator.

  1. There is no supported way to manually delete or permanently clear the OneDrive 'Recent' list, and the macOS client lacks an Activity view.

  2. To view actual file activity, use the web version at https://onedrive.live.com, select the file, click the Information icon in the top-right corner, and review who last modified it, the last modified time, and version history.

  3. Recent items cannot be deleted directly.

Alternative Solutions for Broader OneDrive File Issues Workarounds

  1. Retry the Microsoft-side steps after restarting the app and device.

  2. Test the same action in a private browser session or a new blank file to isolate account vs file issues.

  3. Capture exact error text and screenshots before contacting Microsoft Support or your administrator.

Working with WPS Office: Using WPS While Office Is Unavailable

Edit Text and Image in WPS PDF
Open and edit PDFs locally with WPS PDF tools.

WPS Office cannot replace Microsoft account, activation, or cloud fixes for this scenario. It remains one of the best free Microsoft Office-compatible alternatives for opening and editing local files.

  1. Download and install WPS Office from the official website.

  2. Open local Word, Excel, PowerPoint, or PDF files in the matching WPS app.

  3. Save a working copy locally while Microsoft-side issues are resolved.

  4. Return to Microsoft Office after the primary fix succeeds.

If you need a practical local workspace in the meantime, try WPS Office.

Prevention Tips for Avoiding Repeat OneDrive File Issues

  • Keep one primary Microsoft account for subscriptions and Office sign-in.

  • Install updates for Office and Windows before retrying failed workflows.

  • Back up important files before repair, reset, or reinstall actions.

  • Work on copies and keep version history enabled when available.

FAQs About Documents Troubleshooting FAQ

Can WPS Office fix this onedrive file issues issue directly? Only when the WPS steps match the formatting or file task. Account, activation, and cloud issues stay on the Microsoft side.

Should I reinstall Office before trying these steps? Not first. Confirm account, license, and the exact error before reinstalling.

What should I send to Microsoft Support? The affected account email, device type, Office version, exact error text, and screenshots with personal data hidden.
