- Product
- Microsoft Forms and OneDrive for Business
- Device & OS
- not provided
- Scenario
- Collaborating on form responses where team members need to view submitted image attachments but are blocked by access requests.
- Observed behavior
- Form collaborators can see the response text data, but receive a permission request prompt when attempting to open the submitted image files.
Ensure you are logged into the exact OneDrive for Business account of the person who originally created the Microsoft Form, as this is where the files are stored.
Share the Forms Question Folder in OneDrive
Grant access directly to the folder where Microsoft Forms automatically saves all uploaded images.
By design, Microsoft Forms saves file uploads to the creator's OneDrive for Business. Sharing the form's results does not automatically share these underlying files, which is why manual folder sharing is required.
Log in to your OneDrive for Business account where the Microsoft Form was originally created.
In the left sidebar, click on 'My files', then open the 'Apps' folder, followed by the 'Microsoft Forms' folder.
Open the folder that perfectly matches the name of your form, then open the 'Question' folder inside it.
Select the 'Question' folder (which contains all the uploaded images) and use the 'Share' button to grant access to the colleagues who need to view the submitted files.

Frequently Asked Questions
Why are uploaded images in Microsoft Forms restricted by default?
By default, files uploaded to personal Microsoft Forms are saved in the creator's OneDrive for Business. Since OneDrive is private, other users must be explicitly granted permission to view these files.
Can I change where Microsoft Forms saves uploaded files to avoid permission issues?
Yes. If you create a form in a Microsoft 365 Group or a SharePoint site instead of your personal account, the uploaded files will be stored in the group's SharePoint document library, allowing all group members access by default.
Do I have to share images one by one with my colleagues?
No, you do not need to share individual files. You can share the entire 'Question' folder in your OneDrive. Anyone with access to this folder will be able to view all images currently uploaded, as well as future uploads for that specific question.
