How to Add an External User to a Microsoft Lists Person Column
Product
Microsoft Lists / SharePoint
Device & OS
not provided
Scenario
Trying to assign an item to an external user or select an external email address using a Person or Group column in a list.
Observed behavior
The Person or Group column cannot find or select an unregistered person because they do not have a synchronized profile in the organization's directory.
Before you start

Ensure you have the necessary administrative permissions in Microsoft Entra ID (formerly Azure Active Directory) to invite external guest users to your organization's directory.

Solution 1Recommended

Invite the External Person via Microsoft Entra ID

Add the external user as a guest in your organization's directory so their profile synchronizes with SharePoint, allowing them to be selected in the Person column.

A SharePoint or Microsoft Lists Person/Group column only supports users with profiles synchronized from Microsoft Entra ID. To select an external user, they must first exist as an accepted guest in your directory.

1
Log in to Entra ID

Sign in to the Microsoft Entra admin center as at least a Guest Inviter or User Administrator.

2
Send a guest invitation

Navigate to 'Users', select 'All users', click on 'New guest user', enter the external user's email address and details, and then send the invitation.

3
Wait for acceptance and sync

Have the external user accept the invitation via their email. Wait for their guest profile to fully synchronize with SharePoint.

4
Select the user in the list

Open your Microsoft List or SharePoint list, click on the Person or Group column field, and type the guest user's name or email to select them.

User Data Retention: After a user has been successfully added to a list, their user information generally remains visible in the list even if the person later leaves the company or has their access revoked.

Frequently Asked Questions

Why can't I find an external user by typing their email directly into the Person column?

The Person or Group column cannot resolve raw email addresses of unregistered users. It searches exclusively against the organization's directory. External users must first be invited and added to Microsoft Entra ID as guests before their names will populate.

Will the external user's name disappear from the list if they are removed from our directory?

No. User information that is already stored in a list item generally remains visible even after the person's guest account is removed or they leave the organization, though their underlying access and profile resolution will be discontinued.

How long does it take for a newly added guest user to appear in Microsoft Lists?

After the external user accepts the guest invitation, it can take some time for their profile to fully sync from Microsoft Entra ID into the SharePoint user profile application. This sync process typically takes anywhere from a few minutes to a few hours.
