Before you start

Ensure you have global administrator or Exchange administrator privileges in your Microsoft 365 tenant, and access to the Microsoft Entra ID (Azure AD) admin center.

Solution 1Recommended

Permanently Delete the User from Microsoft Entra ID (Azure AD)

This is the most common fix when a shared mailbox has been deleted but its associated user account remains in a "soft-deleted" state in the cloud.

When you delete a shared mailbox, the associated user account is moved to the Azure AD recycle bin for 30 days. Outlook may continue to pull AutoDiscover data for this user until it is permanently purged.

1
Access the Admin Center

Sign in to the Azure AD Admin Center (Microsoft Entra ID) using your administrator credentials.

2
Navigate to Deleted Users

Go to 'Users' in the left-hand navigation pane, then select 'Deleted users'.

3
Locate the Shared Mailbox User

Search for the associated user account of the deleted shared mailbox.

4
Permanently Delete

Select the user account and click 'Delete permanently' to remove all lingering data that Outlook might be detecting.

Propagation Time: After permanently deleting the user, please allow some time for the changes to sync across Microsoft 365 servers before testing Outlook again.

Frequently Asked Questions

Why does a deleted shared mailbox still show up in Outlook?

Outlook caches AutoDiscover information, and Microsoft Entra ID (Azure AD) retains deleted users in a 'soft-deleted' state for 30 days. Until the user is permanently deleted and the local client cache is cleared, Outlook may still attempt to auto-configure the mailbox.

How long does it take for Exchange Online to clear deleted mailbox data?

By default, soft-deleted mailboxes and their associated user accounts are retained in Azure AD and Exchange Online for 30 days before being permanently and automatically purged by the system.

Can I remove a shared mailbox without deleting the associated user account?

In Microsoft 365 environments, every shared mailbox is tied to a disabled user account. If you want to remove the mailbox completely from the directory and stop AutoDiscover from finding it, you must remove the mailbox and permanently delete the user account from the recycle bin.
