Fix Excel Page Layout Orientation Option Greyed Out
Question details
The user is unable to change the page orientation because the Page Layout orientation option is disabled.
- Product
- Microsoft Excel
- Device & OS
- not provided
- Scenario
- Attempting to switch a spreadsheet document to horizontal (landscape) or portrait orientation for printing or formatting.
- Observed behavior
- The orientation control under the Page Layout tab is completely greyed out, preventing the user from making any page setup changes.
Ensure you are not actively editing a cell. Press the 'Esc' key on your keyboard to exit cell editing mode, as Excel automatically disables page layout options when your cursor is inside a cell.
Check and Configure the Default Printer
Excel relies on printer drivers to render page layouts; if no printer is installed or the print spooler is stopped, layout options become disabled.
Excel requires communication with a printer driver (even a virtual one) to calculate margins, page sizes, and orientations. If your default printer is offline or the Windows Print Spooler service has crashed, the orientation options will be greyed out.
Press the Windows Key + R to open the Run dialog. Type 'services.msc' and press Enter.
Scroll down to find 'Print Spooler' in the list. Right-click on it and select 'Restart' (or 'Start' if it is currently stopped).
Go to Windows Settings > Devices > Printers & scanners. Select 'Microsoft Print to PDF' or 'Microsoft XPS Document Writer', click 'Manage', and select 'Set as default'.
Close your Excel workbook and reopen it to see if the Orientation button is now active.
Disable Protected View and Unprotect Sheet
Use this solution if the document was downloaded from the internet or if the worksheet was locked by its creator.
Ungroup Multiple Worksheets
Applying layout changes is restricted when multiple sheets with different page setups are grouped together.
Easily Manage Page Layouts with WPS Spreadsheets
If Excel's printer dependencies and permission restrictions continue to disable your page layout settings, try WPS Office. WPS Spreadsheets offers a highly stable, independent page layout system that allows you to format and print your documents without hassle.
- 1. Open Your Spreadsheet: Launch WPS Spreadsheets and open your existing Excel file.
- 2. Navigate to Page Layout: Click on the 'Page Layout' tab in the top ribbon.
- 3. Select Orientation: Click the 'Orientation' icon and choose either 'Portrait' or 'Landscape'.
- 4. Preview and Save: Click 'Print Preview' to verify your layout, then save or export your document directly to PDF.

Frequently Asked Questions
Why are all the Page Layout options greyed out in Excel?
This commonly occurs if you are currently editing inside a cell (cursor is active in the formula bar or cell), if the worksheet is locked/protected, or if the Windows Print Spooler service has stopped running.
Can I change page orientation if I don't have a printer installed?
Excel requires a printer driver to format page layouts. If you don't have a physical printer, you can set 'Microsoft Print to PDF' or 'Microsoft XPS Document Writer' as your default printer in Windows Settings to re-enable the orientation options.
How do I know if my worksheet is in Protected View?
A yellow message bar will appear at the top of the spreadsheet stating 'Protected View - Be careful - files from the Internet can contain viruses.' You must click the 'Enable Editing' button on this bar to unlock layout settings.
