How to Set a Company-Wide Default Font in Microsoft 365
Product
Microsoft 365
Device & OS
Windows
Scenario
An administrator wants to ensure that all new documents created by employees use the same standardized font (such as Calibri) by default.
Observed behavior
By default, individual users can choose their own default fonts. Administrators need to push a custom organizational theme font to unify document styles across the company.
Before you start

Ensure you have Global Administrator privileges in Microsoft 365 to access organization profiles, and verify that the specific fonts you plan to use are already installed on all users' local computers.

Solution 1Recommended

Deploy a Custom Theme Font via the Microsoft 365 Admin Center

Create a local font theme file using an Office desktop application and upload it to your organization's custom themes in the Microsoft 365 admin center.

This configuration applies standard fonts exclusively to new files created in Microsoft Office desktop applications. Existing files and documents created via web or mobile apps will not be affected.

1
Create the Custom Font Set

Open a Microsoft Office desktop application like Word. Navigate to the Design tab on the ribbon, click on Fonts, and select Customize Fonts at the bottom of the menu. Choose your desired standard fonts and save.

2
Locate the Saved Theme File

Open File Explorer and navigate to C:\Users\[Username]\AppData\Roaming\Microsoft\Templates\Document Themes\Theme Fonts. Keep this folder open to access your newly created font theme file.

3
Access the Microsoft 365 Admin Center

Log in to the Microsoft 365 admin center using a Global Administrator account.

4
Upload the Organization Theme

In the admin center, go to Settings > Org Settings > Organization profile > Custom Themes. Attach the organizational font file you located earlier to deploy the theme across your company.

Local Installation Requirement: Deploying the theme file does not install the actual fonts on users' machines. The fonts selected in the theme must be installed on the users' computers beforehand for the default styling to display correctly.

Frequently Asked Questions

Will deploying an organization theme update fonts in existing documents?

No, a default theme or template configured in the Microsoft 365 admin center only applies to newly created files. Any existing documents must be updated manually to reflect the new default fonts.

Does the company-wide default font apply to Microsoft 365 web and mobile apps?

No, this deployment method is specific to Microsoft Office desktop programs. Supported web and mobile applications do not utilize the locally generated theme font files.

Why are the default fonts not showing up for some users after deployment?

The custom theme only tells the desktop applications which font to select. If the actual font files are not installed on a user's local Windows operating system, the system will fall back to a default substitution.
