Problem Description: Sensitivity Label File Update

Hello, We are trying to allow the user to update a sensitivity label of a file through an office add-in. We noticed - even if our app registration has the right permissions - as long as any user has the file open, we get an error response that the file is locked (trying through [assignSensitivityLabel](https://learn.microsoft.com/en-us/graph/api/driveitem-assignsensitivitylabel?view=graph-rest-1.0&tabs=http)). So our requests to graph to update the document sensitivity label fails. We also tried modifying all sensitivity label related custom properties of the file. Then although file looks like it gets the updated label (properties are updated and the selected label UI changes) - graph info does not update ([extractSensitivityLabels](https://learn.microsoft.com/en-us/graph/api/driveitem-extractsensitivitylabels?view=graph-rest-1.0&tabs=http) still returns the non-updated one). We were wondering if there is any way to achieve this goal in the frontend part. If not - how should should approach this from a server/service side..? (e.g. wait for file to be closed by all users and then set the label through graph? Download the file, use MIP SDK package and reupload the file..? any other approach we might be missing..?) Thanks!

Quick Answer for Office Won't Complete Task

If a file is open by any user, attempts to update its sensitivity label through the Microsoft Graph API may result in a "file locked" error.

Likely Causes Behind Common Data Protection Issues Triggers

  • The Microsoft account or license context may not match the purchase or device.

  • Cached credentials, outdated builds, or damaged local components can trigger data protection issues.

  • A file-specific corruption or add-in conflict can mimic a broader application failure.

Recommended Solution: Repairing Office Startup Issues

When to use this: Apply these steps when the symptoms match and you can access the relevant Microsoft account or administrator.

  1. This is expected behavior.

  2. To address this, implement a mechanism to check if the file is open and queue the request to retry once closed.

  3. Alternatively, use the MIP SDK to download the file, update the sensitivity label locally, and re-upload it, bypassing the locking issue.

  4. You can also modify custom properties as an alternative approach.

Alternative Solutions for Broader Data Protection Issues Workarounds

  1. Retry the Microsoft-side steps after restarting the app and device.

  2. Test the same action in a private browser session or a new blank file to isolate account vs file issues.

  3. Capture exact error text and screenshots before contacting Microsoft Support or your administrator.

Working with WPS Office: Using WPS While Office Is Unavailable

WPS Office — free office suite for documents, spreadsheets, presentations, and PDFs.

WPS Office cannot replace Microsoft account, activation, or cloud fixes for this scenario. It remains one of the best free Microsoft Office-compatible alternatives for opening and editing local files.

  1. Download and install WPS Office from the official website.

  2. Open local Word, Excel, PowerPoint, or PDF files in the matching WPS app.

  3. Save a working copy locally while Microsoft-side issues are resolved.

  4. Return to Microsoft Office after the primary fix succeeds.

If you need a practical local workspace in the meantime, try WPS Office.

Prevention Tips for Avoiding Repeat Data Protection Issues

  • Keep one primary Microsoft account for subscriptions and Office sign-in.

  • Install updates for Office and Windows before retrying failed workflows.

  • Back up important files before repair, reset, or reinstall actions.

  • Review connected devices and sign-in activity regularly.

FAQs About Sensitivity Troubleshooting FAQ

Can WPS Office fix this data protection issues issue directly? Only when the WPS steps match the formatting or file task. Account, activation, and cloud issues stay on the Microsoft side.

Should I reinstall Office before trying these steps? Not first. Confirm account, license, and the exact error before reinstalling.

What should I send to Microsoft Support? The affected account email, device type, Office version, exact error text, and screenshots with personal data hidden.
