How to Print Comments in Excel: A Step-by-Step Guide

You might have an Excel spreadsheet with comments and might want to print those comments, but you can’t find how to. Don’t worry. You are not alone. There might be various reasons to print comments in Excel, such as sharing your work with colleagues or creating a hard copy for future reference. Luckily, Excel makes it easy to print comments along with your data. 

How to Print Comments in Excel

Step 1: Add Comments to Your Spreadsheet

So, if you already have an Excel sheet with comments, this step is optional. But, before you can print comments in Excel, you must first add them to your spreadsheet. To do this, right-click on the cell where you want to add a comment and select "Insert Comment." It will create a new text box where you can type your comment.

Step 2: Show All Comments

To ensure you can print comments in Excel, you must ensure all comments are visible. To do this, click on the "Review" tab at the top of the screen and select "Show All Comments." It will reveal all comments in your spreadsheet, making them ready for printing.

Step 3: Print Comments

Once all comments are visible, you can print them with your data. To do this, click the "Page Layout" tab and select "Print Titles."

A Page Setup Window will pop up. Click on the drop-down button next to Comments and Select the option “As displayed on the sheet” to display it as it is or select At the end of the sheet to display the comments “At the end of the sheet.”

Step 4: Preview and Adjust Settings (Optional)

Before printing, you can preview your document to see how it will look on paper. You can do this by clicking the "File" tab and selecting "Print Preview." You can adjust the settings and layout from here to ensure the comments are clear and legible. You can also change the page margins and orientation to fit more data and comments onto the page.

Step 5: Print and Save

After you have reviewed the document and made the necessary changes print the Spreadsheet by clicking on the “Print” button. You can also save your document by clicking on the "File" tab and selecting "Save As" to ensure you have a digital copy of your spreadsheet with comments.
