Fix SharePoint External Access: Business Email Not Recognized
Question details
An external partner is unable to access SharePoint resources because their business email address is not recognized during the sign-in process.

- Product
- SharePoint Online
- Device & OS
- not provided
- Scenario
- A company wants to share SharePoint Online resources securely with external partners using only their business-domain email addresses.
- Observed behavior
- The partner's business email address is rejected at the SharePoint sign-in screen, despite the address being associated with a Gmail-based Microsoft account.
Ensure you have Microsoft Entra ID (formerly Azure AD) administrator or Guest Inviter privileges to add external users to your organization's tenant.
Invite the Partner via Microsoft Entra ID B2B Collaboration
The recommended method for granting external access is to invite the partner as a guest user in your tenant, ensuring they authenticate with the correct external identity.
Microsoft no longer supports the Azure AD and Microsoft account overlap scenario. Attempting to add the business address as an alias to resolve the identity conflict will not work and is not supported.
Instead, use Microsoft Entra ID B2B collaboration to formally invite the partner's business email address into your directory as a guest user.
Log in to the Microsoft Entra admin center using an account with at least the Guest Inviter role.
In the left-hand navigation pane, expand 'Identity', click on 'Users', and then select 'All users'.
Click on 'New user' at the top of the screen and select 'Invite external user'.
Enter the partner's exact business email address, add a customized invitation message if desired, and click 'Invite'.
Once the partner accepts the email invitation and their guest account is active, navigate to your SharePoint site and grant their guest account the necessary site permissions.

Looking for a Simpler Way to Collaborate? Try WPS Office
Managing Azure AD tenants and guest user permissions can be overly complex for simple document sharing. If you need a lightweight, free alternative to Microsoft Office for seamless team collaboration, WPS Office offers powerful built-in sharing features without the administrative overhead.
- 1. Open your document: Launch WPS Office and open the document, spreadsheet, or presentation you want to share.
- 2. Click Share: Click the 'Share' button located in the top-right corner of the application window.
- 3. Set permissions and send: Choose your preferred access level (e.g., Anyone with the link) and easily copy the link to share directly with your external partners.

Frequently Asked Questions
Why can't I just add the partner's business email as an alias to their Microsoft account?
Microsoft no longer supports scenarios where Azure AD accounts and personal Microsoft accounts overlap. Adding the business email as an alias creates identity conflicts, which is why the sign-in screen fails to recognize the address.
What is Microsoft Entra ID B2B collaboration?
Microsoft Entra ID B2B (Business-to-Business) collaboration is a feature that allows you to securely share your organization's applications and services with guest users from other organizations, while maintaining complete control over your own corporate data.
Does the external partner need their own Microsoft 365 license to view our SharePoint site?
No. When invited via Entra ID B2B collaboration, guest users can access the SharePoint resources you share with them using their own credentials. Licensing is typically handled by your organization's External Identities billing setup, allowing guests to view documents without purchasing an additional license.
