Scenario
Printing presentation notes and handouts with page numbers and custom footers.
Observed behavior

Before you start

Verify that your selected printer is online and check that the physical paper size loaded in your printer matches the paper size configured in your system's printing preferences.

Solution 1Recommended

Adjust the Page Number Placeholder in Handout Master

Moving the footer placeholders higher on the page prevents them from being cut off by the printer's unprintable margin zone.

Most printers have a hardware margin at the edges of the paper where they cannot print. If the default footer placement falls inside this unprintable zone, it will not appear in the preview or the physical printout.

1
Open Handout Master

Navigate to the View tab on the top ribbon and click on Handout Master.

2
Locate the Placeholders

Look at the bottom of the master page to find the Footer and Page Number placeholders.

3
Move Placeholders Upward

Click and drag both placeholders upward so they are positioned further away from the bottom edge of the page, ensuring they fall within the printable area.

4
Verify in Print Preview

Close the Master View by clicking 'Close Master View', then press Ctrl + P to open the Print Preview and confirm the page number and footer are now visible.

Alternative Placement: Even if the printed number does not appear exactly where you dragged the placeholder in the master view, moving it up generally forces the printer to include it at the bottom of the printable region.

Frequently Asked Questions

Why do footers show on my presentation slides but not on my printed handouts?

Slide footers and handout footers are managed independently in presentation software. You must enable the footer specifically for printed materials by going to Insert > Header & Footer, and selecting the Notes and Handouts tab.

Can I print a PowerPoint handout without page numbers?

Yes. Navigate to Insert > Header & Footer, click on the Notes and Handouts tab, and simply uncheck the Page number box before applying the changes and printing.

What are unprintable margins on a printer?

Most standard desktop printers cannot print ink all the way to the very edge of the paper, typically leaving a 0.25 to 0.5-inch blank border. If your presentation's handout master places footers inside this blank hardware zone, they will be cut off and will not print.
