Scenario
Preparing and organizing elements within a presentation slide.
Observed behavior
The audio icon is no longer visible in the normal slide view, though the audio file itself is still attached to the slide.
Before you start

Ensure you are currently in the Normal view mode of your presentation so that you can freely interact with individual slide elements and the gray pasteboard area surrounding the slide.

Solution 1Recommended

Zoom Out to Locate and Reposition the Audio Icon

Use the built-in zoom controls to expand your view beyond the slide boundaries and drag the audio icon back onto the canvas.

When an object is dragged off a slide, it rests on the pasteboard (the gray workspace area). By zooming out, you can reveal these hidden elements and easily drag them back into the visible presentation space.

1
Adjust the zoom level

Locate the zoom control slider in the lower-right corner of the presentation window. Drag the slider to the left, or repeatedly click the minus (-) button, to zoom out until you can clearly see the gray workspace surrounding the slide.

2
Locate and drag the icon

Look for the audio speaker icon in the area outside the slide boundaries. Click and hold the icon, then drag it back onto the white slide canvas.

3
Restore normal view

Use the zoom slider to zoom back into your preferred view, or simply click the 'Fit slide to current window' button next to the zoom slider to perfectly center the slide on your screen.

When to keep the icon off the slide: If your audio is configured to 'Play Automatically', you can deliberately leave the icon outside the slide boundaries to keep it hidden during the presentation. However, if the viewer or presenter needs to click the icon manually to start the audio, it must be placed directly on the slide.

Frequently Asked Questions

Why did my audio stop playing when I moved the icon off the slide?

Moving the icon off the slide does not stop the audio from playing if it is set to 'Play Automatically'. However, if your audio playback was set to 'On Click', you will not be able to click the icon to trigger the sound during the slideshow because it is positioned outside the visible screen area.

Can I hide the audio icon without dragging it off the slide?

Yes. Select the audio icon, navigate to the 'Audio Tools' or 'Playback' tab on the top ribbon, and check the box for 'Hide During Show'. This keeps the icon safely on your slide while editing, but renders it invisible when you are presenting.

Is there another way to find a lost audio icon besides zooming out?

Yes, you can use the Selection Pane. Go to the 'Home' tab, click 'Select' (or 'Find and Select' in some versions), and choose 'Selection Pane'. This will open a side panel listing all objects on the current slide. Clicking the audio object's name in this list will select it, even if it is currently off-screen.
