Device & OS
not provided
Scenario
Exporting Content Search results to retrieve compliance or eDiscovery data.
Observed behavior
The export process fails with permission errors, the export button is disabled, or expected search results are missing from the final export.
Before you start

Ensure you have global administrator access to the Microsoft Purview compliance portal, as you will need admin privileges to modify role groups and verify licensing.

Solution 1Recommended

Assign Search and Export Permissions in Purview

Ensure the user account attempting the export has the specific eDiscovery roles required to search and export content.

By default, even global administrators do not have the required permissions to export content search results. You must explicitly add the user to the eDiscovery Manager role group.

1
Open Compliance Portal

Navigate to the Microsoft Purview compliance portal and log in with your global admin credentials.

2
Access Role Settings

Go to 'Roles & scopes' in the left navigation pane, then select 'Permissions'.

3
Modify eDiscovery Manager

Select 'Microsoft Purview solutions roles', locate the 'eDiscovery Manager' role group, and click on it.

4
Add User Roles

Edit the role group to ensure both the 'Compliance Search' and 'Export' roles are assigned to your user account, then save the changes.

Propagation Time: It can take up to 24 hours for new permission assignments to fully propagate across the Microsoft 365 environment before you can successfully run an export.

Frequently Asked Questions

Why is the export button grayed out in Microsoft Purview Content Search?

The export button is disabled if your account lacks the 'Export' role. Even if you can run a content search, you must be explicitly assigned export permissions within the eDiscovery Manager role group in the compliance portal.

How long does it take for eDiscovery permissions to apply?

Permission changes in Microsoft Purview are not instantaneous. It usually takes a few hours, and can sometimes take up to 24 hours for the updated roles to fully propagate and allow you to export results without errors.

Can I export content search results from an inactive or deleted mailbox?

Yes, you can export search results from an inactive mailbox, but only if a Litigation Hold or Microsoft 365 retention policy was applied to that mailbox before the user account was deleted.
