Fix Word Mail Merge Saving Only the First Page
Product
Word Processor
Device & OS
not provided
Scenario
Reopening a saved mail merge document intended to contain multiple generated records.
Observed behavior
Only the first page appears because the user saved the main template document with merge fields instead of executing the final merge to generate the completed output.
Before you start

Ensure your data source (such as an Excel spreadsheet) is properly linked and that you can preview the data correctly in your document before generating the final output.

Solution 1Recommended

Finish and Merge to Individual Documents

To generate and save all records, you must execute the merge process to create a new, detached document containing the complete output.

Saving the main document using 'Save As' only saves the template with the merge fields and the current preview record. It does not actually process all the rows in your spreadsheet into separate pages.

To get a final document with every record, you must use the Finish & Merge feature to extract the data and compile it into a new, separate Word document.

1
Navigate to the Mailings Tab

Open your original mail merge document and click on the 'Mailings' (or 'References' > 'Mail Merge') tab in the top ribbon.

2
Select Finish & Merge

Locate and click the 'Finish & Merge' button at the far right of the Mailings ribbon.

3
Edit Individual Documents

From the drop-down menu, select 'Edit Individual Documents' (or 'Merge to New Document'). A dialog box will appear asking which records to merge.

4
Merge All Records

Choose 'All' and click 'OK'. The word processor will automatically generate a brand new document containing all the merged pages.

5
Save the Completed Document

In this newly created document, go to File > Save As, and save it as a standard DOCX file. This file will now contain all your merged pages and can be reopened safely.

Keep the Original Template: Remember to also save your original mail merge document separately. This acts as your reusable template linked to your data source for future mailings.

Frequently Asked Questions

Why does my mail merge only print the first page?

If you use the standard File > Print option on the main mail merge document, it will only print the current preview page. To print all records, you must use the 'Finish & Merge' or 'Merge to Printer' option from the Mailings tab.

Can I save the original mail merge document as a template?

Yes. Saving the original document retains the inserted merge fields and the connection to your data source (like Excel). You can reopen it anytime, update your spreadsheet, and perform a new merge.

How do I print or save only specific records from my mail merge?

When you click 'Finish & Merge' and select 'Edit Individual Documents', a dialog box appears. Instead of selecting 'All', you can choose 'Current record' or enter a specific range (e.g., From 1 To 5) to generate only those specific pages.
