- Scenario
- Managing user access and permissions for a shared SharePoint list.
- Observed behavior
- Currently, users either do not have permission to add items or they have standard permissions (like Contribute) which also grant them the ability to edit or delete existing list items.
Ensure you have Site Owner or Full Control permissions in your SharePoint site, as you will need administrative rights to create and assign custom permission levels.
Create and Assign a Custom SharePoint Permission Level
By duplicating an existing permission level and adjusting specific list permissions, you can accurately tailor user access to allow adding items while preventing edits.
SharePoint's default permission levels, such as 'Contribute' or 'Edit', bundle multiple actions together. To separate the ability to add items from the ability to edit them, administrators must create a custom permission level from the site settings.
Click the gear icon (Settings) in the top-right corner of your SharePoint site, select 'Site permissions', and then click on 'Advanced permission settings'.
In the Permissions ribbon at the top of the page, click on 'Permission Levels' to view all the existing permission configurations for the site.
Click on the 'Contribute' permission level to open its details. Scroll to the bottom of the page and click 'Copy Permission Level'.
Provide a clear name and description for the new level (e.g., 'Add Items Only'). In the 'List Permissions' section, ensure 'Add Items' and 'View Items' are checked, and uncheck 'Edit Items' and 'Delete Items'.
Scroll down and click 'Create' to save the custom level. Return to your specific list's permissions, stop inheriting permissions if necessary, and assign this newly created level to the target users or groups.

Frequently Asked Questions
Can I configure a SharePoint list so users can only edit their own items?
Yes. Instead of creating a custom permission level, you can go to List Settings > Advanced Settings. Under 'Item-level Permissions', set 'Read access' to read all items, and 'Create and Edit access' to 'Create items and edit items that were created by the user'.
Why can users still edit items after I applied the 'Add Only' permission level?
Users may belong to another SharePoint group (such as the default 'Members' group) that still has 'Contribute' or 'Edit' permissions. You can use the 'Check Permissions' tool in the site's advanced permission settings to see exactly where a user is inheriting edit rights.
Will users with the custom 'Add Only' permission be able to view attachments?
Yes, as long as you keep the 'View Items' permission box checked when configuring the custom permission level, users will be able to view the list items and open any attachments they contain.
