Fix Microsoft 365 In-Place Archive Not Moving Older Mail
Question details
The user needs to fix an issue where older messages are not automatically transferring to the In-Place Archive in Microsoft 365.

- Product
- Microsoft 365 / Exchange Online
- Device & OS
- not provided
- Scenario
- Managing enterprise email storage by automating the archiving of old messages from large mailboxes.
- Observed behavior
- The in-place archive policy is failing to process and move older emails to the archive folder, leaving the primary mailbox full.
Ensure you have Microsoft 365 administrator privileges, as managing Exchange retention policies and mailbox hold settings requires administrative access.
Create a Non-Deleting Retention Policy to Trigger Processing
Applying a long-term retention policy that does not delete items can prompt the Managed Folder Assistant to process the mailbox and successfully trigger the archive.
In some instances, large mailboxes stall during archive policy processing. Assigning a complementary retention policy that simply retains data (without deletion) forces the assistant to evaluate the mailbox items, thus activating the archive move.
Sign in to the Microsoft Purview compliance portal using your admin credentials.
Go to Data Lifecycle Management on the left sidebar, and click on Exchange (legacy) or Retention policies.
Click 'New policy' and configure a seven-year retention policy that strictly retains items without deleting them.
Assign this new policy to the affected large mailboxes. The Managed Folder Assistant will detect the change and begin processing the archive tags.

Disable Retention Hold on the Mailbox
Check if Retention Hold is enabled, as it suspends the automated processing of mailbox items.
Force the Managed Folder Assistant via PowerShell
Use Exchange Online PowerShell to manually command the server to start processing the mailbox immediately.
Manage Your Documents Easily with WPS Office
While Microsoft 365 Exchange policies manage your enterprise emails, WPS Office provides a free, lightweight, and highly compatible suite for all your document, spreadsheet, and presentation needs. Enjoy a familiar interface without heavy subscription fees.

Frequently Asked Questions
Why is my Microsoft 365 archive not showing up immediately?
Large mailboxes require time for the Exchange Managed Folder Assistant to process retention tags. It can take up to 48 hours, and sometimes longer for massive data sets, for older emails to start appearing in the archive.
What does Retention Hold do in Exchange Online?
Retention Hold suspends the processing of MRM (Messaging Records Management) retention policies for a mailbox. When active, it stops emails from being automatically moved or deleted by the server.
Can I manually force the Managed Folder Assistant to run?
Yes, Microsoft 365 administrators can connect to Exchange Online via PowerShell and use the Start-ManagedFolderAssistant cmdlet to force an immediate processing cycle for a specific mailbox.
Does a non-deleting retention policy actually help archiving?
Yes. Applying a retention policy that retains emails (such as a 7-year non-deletion policy) forces the backend system to evaluate the mailbox items. This evaluation triggers the processing of the archive tags, allowing older items to move.
