How to Fix Microsoft Access Continuous Form Detail Section Not Shrinking
Product
Microsoft Access
Device & OS
not provided
Scenario
Editing a continuous form in Design View and attempting to adjust the section height to remove empty space.
Observed behavior
The detail section remains stuck at approximately two inches high, even after adjusting the visible control sizes and changing section properties.
Before you start

Ensure you are viewing your form in Design View rather than Layout View, as Design View provides the precise control selection needed to find hidden elements.

Solution 1Recommended

Locate and Delete Hidden or Misplaced Controls

Use the selection lasso in Design View to find invisible elements, such as line controls, that are forcing the section height to remain large.

In Microsoft Access, a form section cannot be sized smaller than the lowest control placed within it. Often, a stray line control or an invisible box is accidentally placed lower down in the detail section. Because it lacks color or borders, it is invisible to the eye but still dictates the minimum height of the section.

1
Open Design View

Right-click your continuous form in the navigation pane and select 'Design View'.

2
Expand the Detail Section

Click and drag the bottom edge of the Detail section downwards to make it even taller. This gives you plenty of room to highlight hidden elements.

3
Use the Selection Lasso

Click and drag your mouse pointer to draw a selection box (lasso) over the empty space in the Detail section, especially near the two-inch mark where the form gets stuck.

4
Delete the Hidden Control

If a hidden control (like a line) exists, selection handles (small orange or black squares) will appear. Press the 'Delete' key on your keyboard to remove it.

5
Shrink the Detail Section

Hover over the bottom edge of the Detail section until your cursor turns into an up-down arrow, then drag it up to your desired height.

Hidden Elements: Lines are the most common culprits because they can easily become invisible in Design View if their border color matches the background or if they are perfectly horizontal with a 0-point width.

Frequently Asked Questions

Why won't my Access form detail section shrink even with Auto Resize enabled?

The Auto Resize property adjusts the outer form window to fit the records, but it does not override the physical dimensions set in Design View. If an invisible control is placed low in the Detail section, Access will refuse to shrink the section boundary past that control.

How do I find a transparent control in Access Design View?

You can find transparent or hidden controls by clicking and dragging a selection box (using the mouse lasso) over the seemingly empty areas of your form. Any control inside the box, visible or not, will be highlighted with selection handles.

Can form margins prevent a detail section from shrinking?

Yes, occasionally internal margins or padding properties set on the section or on large controls can push the boundaries outward. Checking the Property Sheet for the section's Height property and ensuring no controls have excess padding can help resolve the issue.
