Device & OS
not provided
Scenario
Designing a database report from a crosstab query to summarize sales data by time periods.
Observed behavior
The report needs to group records appropriately to display distinct monthly totals followed by a yearly summary and a final grand total at the end of the report.
Before you start

Ensure your underlying table or crosstab query contains a valid date/time field and the numeric fields you intend to sum for your product totals.

Solution 1Recommended

Use Grouping and Sorting with Date Format Expressions

Apply date formatting expressions to group records by year and month, and utilize group footers for calculating subtotals and grand totals.

To achieve multi-level summarization without duplicating detail records, you must structure your report using the Group, Sort, and Total feature. By grouping on formatted date fields, you can isolate the monthly and yearly data buckets, leaving the report footer for the grand total.

1
Open Report Design View

Right-click your target report in the Navigation Pane and select 'Design View'.

2
Access Grouping and Sorting

On the Report Design tab, click 'Group & Sort' to open the Group, Sort, and Total pane at the bottom of the screen.

3
Group by Year

Click 'Add a group' and choose 'Expression'. Enter the expression Format([Book Date], "yyyy") to group the data by year. Ensure the 'with a footer section' option is selected in the 'More' dropdown.

4
Group by Month

Click 'Add a group' again to create a subgroup. Choose 'Expression' and enter Format([Book Date], "yyyy mm"). Ensure this also has a footer section.

5
Add Monthly and Yearly Totals

In both the month and year Group Footers, add a text box control. Set their Control Source to =Sum([YourFieldName]) to calculate the respective totals.

6
Add Grand Totals

Scroll down to the Report Footer (not the Page Footer). Add a text box control and set its Control Source to =Sum([YourFieldName]) to calculate the grand total for the entire report.

Hiding Detail Records: If you only want to see the summary totals without the detailed records, right-click the Detail section, select Properties, and set the 'Visible' property to 'No'.

Frequently Asked Questions

How do I hide the detail section to only show monthly and yearly totals in Access?

In Design View, right-click the Detail section of your report, select Properties, and change the 'Visible' property on the Format tab to 'No'. This hides the individual records while keeping your group footers and totals visible.

Why are my grand totals not calculating correctly in the Page Footer?

The =Sum() function cannot evaluate correctly inside a Page Footer because it attempts to sum only the data on the current physical page. To calculate a grand total for the entire dataset, you must place your calculated text box in the Report Footer.

Can I group dates by quarter in an Access report?

Yes, you can group by quarters using a similar date expression. In the Grouping and Sorting pane, add a group using the expression Format([YourDate], "yyyy-q") to group your data by both the year and the quarter.
