Scenario
Selecting an address in a document to automatically populate the envelope Delivery Address field.
Observed behavior
Only the first line of the selected address appears in the envelope Delivery Address box, omitting the rest of the address.
Before you start

Ensure your document contains the full delivery address, and toggle paragraph marks on in the Home tab to see if your address lines are separated by hard paragraph breaks.

Solution 1Recommended

Use Soft Line Breaks (Shift+Enter) Instead of Paragraph Breaks

Adjust the line spacing format so Word recognizes the entire multi-line address block as a single paragraph.

Microsoft Word's envelope tool auto-captures text based on paragraph blocks. If you pressed the Enter key after each line of your address, Word sees each line as an independent paragraph and stops capturing after the first one.

1
Remove hard returns

Find the address in your Word document. Place your cursor at the end of the first line and press Delete to remove the paragraph break.

2
Insert soft line breaks

Press Shift+Enter to insert a soft line break. This moves the next text down without starting a new paragraph.

3
Apply to the whole address

Repeat this process for all lines in the address. The spacing may look slightly tighter.

4
Reopen the Envelopes tool

Select the full address block and click on the Envelopes tool in the Mailings tab. The entire address will now populate.

Use Soft Line Breaks (Shift+Enter) Instead of Paragraph Breaks
Address recognized: Word will now capture the entire address automatically since it is formatted as a single paragraph block.

Frequently Asked Questions

Why does Word only highlight the first line of my address?

Word's Envelope feature searches for a single paragraph block to auto-populate the delivery address. If you pressed 'Enter' at the end of each line while typing, Word treats each line as a separate paragraph and stops capturing data after the first one.

What is the difference between Enter and Shift+Enter in Word?

Pressing 'Enter' creates a hard paragraph break, which starts a completely new paragraph. Pressing 'Shift+Enter' creates a soft line break, moving the text to the next line while keeping it logically within the exact same paragraph block.

Can I save my return address for all future envelopes?

Yes, you can set a default return address in Word by going to File > Options > Advanced. Scroll down to the General section, and enter your information in the 'Mailing address' box. This will automatically populate the return address field in the future.
