When Word for Mac can read your Excel contacts but Merge to E-Mail remains unavailable, the spreadsheet is usually not the missing piece. Word also needs a compatible default mail application to hand off the generated messages. On a Microsoft 365 work Mac, set Outlook as the default mail app, restart both applications, and test a small merge.

The screenshot shows Word’s Mailings tab with recipient controls available but the email merge action disabled. This distinction matters: Word can connect to the Excel list without having a mail client ready. The default-mail setting is therefore the first item to correct.

Before changing application settings, make sure the merge itself is configured for email and the workbook is usable.

  • In Word, select Mailings > Start Mail Merge > E-mail Messages. A Letters merge will not expose the same final email workflow.

  1. Open Apple Mail once. Even when your organization uses Outlook, the macOS default email setting may be exposed through Mail. Open the Mail app.
  2. Open Mail settings. Choose Mail > Settings (or Preferences on older macOS versions), then open General.
  3. Change the default email reader. Set Default email reader to Microsoft Outlook. If Outlook is not listed, choose Select and pick Outlook from the Applications folder.
  4. Quit the applications completely. Quit Apple Mail, Word, and Outlook. Do not only close their windows.
  5. Open Outlook first. Sign in to the corporate mailbox, confirm that Outlook is online, and send yourself a normal test message.
  6. Reopen Word. Open the mail merge document, reconnect the Excel recipient list if prompted, and return to the Mailings tab. The Merge to E-Mail command should now be available.

  1. Select Preview Results and move through several records. Check names, greetings, dates, and any conditional fields.

  4. Merge only one or two records first. In Outlook, confirm that the messages reach the Outbox or Sent folder and that formatting is intact.
  5. After the test succeeds, return to Word and merge the remaining records. Follow company rules for recipient consent, message volume, and sensitive data.
