How to Remove Duplicate Events from SharePoint Calendar Overlays
Product
Microsoft SharePoint
Device & OS
not provided
Scenario
Managing color-coded event categories using calendar overlays in SharePoint.
Observed behavior
Events are displayed twice because they appear simultaneously in the general Events default overlay and the category-specific overlay.
Before you start

Ensure you have the necessary site permissions (Design or Full Control) to modify list views and manage calendar overlays in your SharePoint site.

Solution 1Recommended

Filter the Default Calendar View to a Single Category

Adjust the default calendar view's settings so it only pulls in one specific category, preventing event overlap with the other category-specific overlays.

By default, the master SharePoint calendar includes all events. When you stack category-specific views on top of this master calendar using the overlay feature, events belonging to those categories are rendered twice—once by the master view, and once by the overlay. Filtering the default view resolves this duplication.

1
Access Calendar View Settings

Navigate to your SharePoint calendar. In the ribbon at the top, click on the 'Calendar' tab and select 'Modify View' or navigate through 'List Settings' to select your default view.

2
Apply a Category Filter

Scroll down to the 'Filter' section of the view settings page. Select the option 'Show items only when the following is true'.

3
Configure the Filter Logic

Set the first dropdown column to 'Category', set the operator dropdown to 'is equal to', and manually type a specific category name in the text field (for example, 'Meeting').

4
Save the View

Click 'OK' at the top or bottom of the page to save your changes. Your default view will now only show the selected category, and your overlays will populate the remaining categories in their distinct colors without showing every event twice.

Filter the Default Calendar View to a Single Category
Color-Coding Achieved: Once the default view is successfully filtered, events like Business, Work Hours, and Holidays will appear strictly in their designated overlay colors without cluttering the interface with duplicates.

Frequently Asked Questions

Why do events appear twice when using SharePoint calendar overlays?

This duplication happens because the base calendar view displays all events by default. When you layer category-specific views on top as overlays, the events belonging to those categories are rendered simultaneously by both the base view and the overlay view.

Can I use different colors for different event categories in SharePoint?

Yes. By creating individual calendar views filtered by category and adding each view as a separate overlay on the master calendar, you can assign up to 9 distinct colors to differentiate your event types.

What happens if a calendar event doesn't fit into the filtered category?

If you filter your default base view to a specific category like 'Meeting', any events that are not categorized as 'Meeting' (and are not covered by your other active overlays) will simply not be visible on the master calendar. It is crucial to ensure all events are properly categorized.

Is there a limit to the number of calendar overlays I can add in SharePoint?

Yes, SharePoint restricts a single calendar view to a maximum of 10 overlays. This count includes the default base calendar, meaning you can add up to 9 additional category-specific views.
