How to Fix Power Automate Sending Old or Blank SharePoint Field Values
Product
Microsoft Power Automate
Device & OS
not provided
Scenario
Using Power Automate to update a SharePoint item and subsequently send an email containing the updated field.
Observed behavior
The Power Automate flow successfully updates the SharePoint item, but the email sent out contains an outdated or blank value for that field.
Before you start

Ensure you have edit access to your Power Automate flow and verify the specific Site Address, List Name, and Item ID for your SharePoint item.

Solution 1Recommended

Add a 'Get item' Action Before Sending the Email

Retrieve the freshest SharePoint item data right before sending your email to ensure all dynamic content reflects recent updates.

When Power Automate runs, the dynamic content used in later steps often reflects the state of the item at the start of the flow or at the point of the trigger. If a flow modifies the data along the way, the original dynamic content variables are not automatically refreshed. To get fields updated during the flow, you must explicitly fetch the item again using the SharePoint 'Get item' action.

1
Open your flow in Edit mode

Log in to Power Automate, navigate to 'My flows', and select the specific flow you want to modify, then click 'Edit'.

2
Insert the Get item action

Locate the step where you update the SharePoint item. Click 'New step' immediately after this update action and search for the 'Get item' (SharePoint) action.

3
Configure the Get item action

Fill in the 'Get item' action by selecting the exact same Site Address and List Name. For the Item ID, insert the dynamic content ID of the item you just updated.

4
Update the email action

Open your 'Send an email' action. Replace any old dynamic field values with the dynamic content specifically generated from the new 'Get item' output (e.g., the 'Ref' value). Save and test your flow.

Add a 'Get item' Action Before Sending the Email
Avoid Delay Actions: Using a delay action instead of 'Get item' will not refresh the updated value and can cause endless email loops if termination conditions are affected.

Frequently Asked Questions

Why does dynamic content show old data in Power Automate?

Dynamic content typically retains the data captured at the trigger event or the last time it was fetched. If a flow modifies the SharePoint item, the original variables are not automatically refreshed unless you explicitly retrieve them again.

Can I use a delay action to wait for SharePoint to update?

It is not recommended. Adding a delay does not refresh the flow's internal variables. As a result, it will still send the old data and can sometimes cause infinite loops if the flow's logic depends on updated information.

What fields are required for the SharePoint 'Get item' action?

You need to specify the Site Address, List Name, and the unique Item ID of the SharePoint record you want to retrieve.
