How to Fix Word Cross-References That Copy Entire Headings
Product
Word / WPS Writer
Device & OS
not provided
Scenario
Inserting or updating cross-references to headings after document content has been modified or moved via drag-and-drop.
Observed behavior
The cross-reference displays an entire paragraph or extra content because the hidden bookmark expanded, instead of displaying just the heading.
Before you start

Before modifying your cross-references, press Alt+F9 (or Fn+Alt+F9 on some keyboards) to reveal the field codes in your document. This allows you to identify whether you are working with a REF or PAGEREF field and see exactly what the bookmark is pulling.

Solution 1Recommended

Use the \r Switch to Show Only the Heading Number

Use this solution if your REF field is capturing too much text and you only want it to display the heading number.

When a cross-reference is inserted, a REF field is created. By modifying the field code to include a specific switch, you can force the cross-reference to display only the numbering of the heading, ignoring any extra paragraph text that was accidentally dragged into the hidden bookmark.

1
Toggle the specific field code

Right-click the incorrect cross-reference in your document and select 'Toggle Field Codes' from the context menu.

2
Add the \r switch

Locate the revealed REF code (which will look something like { REF _Ref123456 }). Click inside the brackets and type \r at the very end so it reads { REF _Ref123456 \r }.

3
Update the field

Right-click the field code again and select 'Update Field'. The cross-reference should now shrink to display only the heading number.

Quick Update: If you have multiple fields to update, you can press Ctrl+A to select the whole document, then press F9 to update all fields at once.

Frequently Asked Questions

Why did my cross-reference suddenly include extra text?

When you create a cross-reference, the software wraps the target heading in a hidden bookmark. If you place your cursor at the very beginning of that heading and press Enter to type a new paragraph, the hidden bookmark expands to include the new content, causing it to appear in your cross-reference.

How do I update all cross-references in my document at once?

To update all cross-references simultaneously, press Ctrl+A to select your entire document, and then press F9. This refreshes all field codes, ensuring your cross-references reflect the latest heading text and page numbers.

What is the difference between a REF and PAGEREF field?

A REF field is designed to duplicate the text or the paragraph number of a referenced item. A PAGEREF field simply looks at where the referenced item is located and outputs the corresponding page number, ignoring the text entirely.
