Khadija KhanKhadija Khan Oct 10, 2026 870 views

Question details

The user needs to set up a Power Automate flow that automatically sends confirmation emails to external or anonymous respondents after they submit a public Microsoft Form.

Product
Microsoft Power Automate and Forms
Device & OS
not provided
Scenario
Automating email confirmations for a public-facing Microsoft Form where respondent identities are not automatically logged.
Observed behavior
Because external respondents are anonymous, their email addresses are not automatically captured by the system, causing the automated email action to fail if the default identity field is used.
Before you start

Ensure you have edit permissions for the Microsoft Form you want to link and an active Microsoft 365 account with access to create workflows in Power Automate.

Solution 1Recommended

Add a Required Email Field and Map it in Power Automate

Use this solution to manually capture the external respondent's email address in the form and dynamically use it as the recipient in your automated email flow.

When dealing with public or external Microsoft Forms, the system treats respondents as anonymous. This means the default 'Responder's Email' dynamic content will be empty. To fix this, you must explicitly ask the user for their email address within the form itself and map that specific answer to your email action in Power Automate.

1
Add an Email Question to Your Form

Open your form in Microsoft Forms. Click 'Add new' and select 'Text'. Name the question 'Email Address' and toggle the 'Required' switch on to ensure respondents cannot submit the form without providing their email.

2
Create the Automation Flow

Open Microsoft Power Automate, click 'Create' in the left menu, and select 'Automated cloud flow'. Choose the trigger named 'When a new response is submitted' and click 'Create'.

3
Retrieve the Form Responses

In the flow editor, select your Form ID in the trigger. Click 'New step', search for 'Get response details', and add it. Select your Form ID again and insert the 'Response Id' dynamic content into the matching field.

4
Configure the Send Email Action

Click 'New step' and add the 'Send an email (V2)' action. Click inside the 'To' field, select 'Add dynamic content', and choose the 'Email Address' question field you created in Step 1. Fill out your Subject and Body, then save and test your flow.

Email Validation Tip: While Microsoft Forms does not have strict email formatting validation, making the field required ensures the flow has data to pull. Always test your flow with a valid external email address to confirm it runs successfully.

Frequently Asked Questions

Why is the Responder's Email dynamic content missing or empty in my flow?

For anonymous or public forms, Microsoft Forms does not automatically capture the user's account identity. You must manually add a text question asking for their email address in the form itself, and use that specific question's dynamic content in your email action.

Can I validate that the user entered a real email address in Microsoft Forms?

Microsoft Forms has limited data validation capabilities. You can click the three dots on the text question, select 'Restrictions', and set basic rules, but you cannot strictly enforce email formatting (such as requiring an '@' symbol) directly in standard Microsoft Forms.

Why does my 'Send an email (V2)' action fail during testing?

The action usually fails if the 'To' field is empty or contains improperly formatted text. Ensure the form response you submitted during your test actually includes a validly formatted email address in the required text field.
