How to Fix New Fields Missing from Access Form Design Field List
Product
Microsoft Access
Device & OS
not provided
Scenario
Modifying a database by adding new fields to an existing table, then attempting to add those new fields to an existing form.
Observed behavior
Newly added table fields do not appear in the form's Field List. Restarting the database does not fix the issue, but temporarily deleting and re-adding existing fields forces the new fields to show up.
Before you start

Ensure that all structural changes made to your underlying Access tables are completely saved and closed before switching to Form Design View.

Solution 1Recommended

Verify and Update the Form's Record Source

Check if the form is bound to a specific query rather than the table itself, and update the query to include the newly added fields.

The most common reason for missing fields in the Field List is that the form's Record Source is bound to a saved query that has not been updated. When you add new fields to a table, any queries based on that table do not automatically include the new fields unless they use a wildcard (*) selection.

1
Open Form in Design View

Right-click your form in the Access Navigation Pane and select 'Design View'.

2
Display the Property Sheet

Press F4 on your keyboard or click 'Property Sheet' in the Tools group on the Form Design tab.

3
Check Record Source

Navigate to the 'Data' tab within the Property Sheet. Look at the 'Record Source' field to see if it points to a query or directly to a table.

4
Update the Underlying Query

If the Record Source is a query, click the ellipsis (...) next to the Record Source box to open the Query Builder. Drag the newly created fields from the table into the query design grid, then save and close the Query Builder.

5
Refresh the Field List

Click 'Add Existing Fields' on the Design tab to reopen the Field List pane. The new fields should now be visible and ready to drag onto your form.

Table Binding Tip: If your form is bound directly to a table rather than a query, simply clearing the Record Source property and immediately re-selecting the table from the dropdown menu will force Access to refresh the schema.

Frequently Asked Questions

Why do fields show up in my Access table but not my form?

This typically occurs because the form's Record Source is bound to a specific query rather than the raw table. If the query hasn't been manually updated to fetch the new table fields, they will not pass through to the form's Field List.

Does closing and reopening the Access database refresh the Field List?

Not necessarily. If the underlying Record Source query does not include the new fields, simply restarting the database or the form will not make them appear. You must update the Record Source itself.

How do I access the Property Sheet in Form Design view?

You can open the Property Sheet by pressing the F4 key on your keyboard, or by clicking the 'Property Sheet' button located in the Tools group on the Form Design ribbon tab.
